Privacy Policy

1. Who we are

Flywheel Consultancy (“Flywheel,” “we,” “us,” or “our”) is a Montana-based consultancy that designs, deploys, and operates AI agent infrastructure for B2B companies. This Privacy Policy explains how we collect, use, store, and share information when you engage our services or interact with the agents we operate on your behalf.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Contact information— name, email address, phone number, company, and role, when you fill out a form, schedule a call, or sign a contract with us.
  • Engagement records— calendar events, meeting transcripts, and notes related to our work together.
  • Operational data from your connected systems — when you authorize an integration (for example, QuickBooks Online, HubSpot, Google Analytics, LinkedIn, or Slack), we access only the data covered by the scopes you approved at connection time. We use this data solely to deliver the services you have contracted us to perform.
  • Website usage data— standard server logs, anonymized analytics, and cookies necessary to operate flywheelconsultancy.com.

3. How we use information

We use the information we collect to:

  • Deliver the consulting services and AI agent infrastructure you have engaged us for.
  • Generate the reports, dashboards, drafts, and operational summaries that are part of those services.
  • Communicate with you about ongoing work, scheduling, and contractual matters.
  • Improve our internal processes and the quality of the agent workflows we operate.
  • Comply with legal, accounting, and regulatory obligations.

We do not sell your information, and we do not use your data to train third-party foundation models.

4. Sub-processors and third-party services

To deliver our services we rely on a limited set of trusted vendors. Each vendor processes only the data necessary for its role and is bound by its own privacy and security commitments. As of the date above, our primary sub-processors include:

  • Anthropic— the model provider powering the AI agents we operate.
  • Supabase— database and authentication for the Agent Console and related operational stores.
  • Railway— application hosting for our managed agent infrastructure and websites.
  • Intuit (QuickBooks Online)— financial reporting integrations operated under your OAuth grant.
  • HubSpot— CRM integrations operated under your authorized API keys or OAuth grants.
  • Granola— meeting transcript and summary integration.
  • Slack— notification and operational messaging.
  • Google— analytics and calendar integrations where authorized.

We will provide a current list of sub-processors on request and will notify clients in advance of material changes.

5. Data retention

We retain personal information for as long as is necessary to provide the services, comply with our legal obligations, resolve disputes, and enforce our agreements. Operational data pulled from connected systems is generally retained for the duration of the engagement and a reasonable period thereafter for audit purposes, then deleted or anonymized. You may request deletion at any time, subject to legal record-keeping requirements.

6. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or port your personal information, and to object to or restrict certain processing. To exercise these rights, email us at [email protected]. We will respond within a reasonable timeframe.

You can disconnect any third-party integration (including QuickBooks Online) at any time. Once disconnected, we will stop accessing the underlying data and delete cached operational data per Section 5.

7. Security

We implement reasonable administrative, technical, and physical safeguards designed to protect the information we hold, including encryption in transit, scoped access tokens, and least-privilege access for personnel and automated systems. No system is perfectly secure, and we cannot guarantee absolute security.

8. Children's privacy

Our services are designed for businesses and are not directed to individuals under 16. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will revise the “Last updated” date at the top and, where appropriate, provide additional notice to active clients.
